
What a Printable Label Grid Is
To make labels that line up with physical sticker stock, the layout is a measured grid: usable paper equals paper size minus twice the outer margin minus the gaps between cells, then that space is divided evenly by the column or row count. - Label width = 7.25 in ÷ 2 = 3.625 in
The vertical side follows the same shape, with one extra gap because there are more rows than columns:

- Label height = 9.25 in ÷ 4 = 2.3125 in
If those numbers do not match the dimensions printed on your sticker sheet, the difference is what you fix by changing the margin, the gap, the row count, or the column count. None of those four values can be guessed from a screen measurement — they come from the printed grid on the package, the layout PDF, or a ruler laid against the blank stock.
Pick a Paper Size and Count the Grid
The first two inputs are paper size and grid count, because everything else is measured against them. Open the Label Maker and select the paper you have actually loaded in the printer tray. US Letter is the standard 8.5 × 11 in sheet used across the United States and Canada. A4 is the 210 × 297 mm sheet used across most of Europe, Asia, and Oceania. Mixing the two is one of the most common causes of a sheet that prints off-center, because the printable area and the position of the grid shift with every millimeter.

Next, count the labels. Lay the blank sticker sheet on a flat surface and count across one row, then down one column. The two numbers you arrive at are the column count and the row count you enter in the tool. If the package lists the grid as "3 × 10", that means three labels across and ten labels down for a total of thirty per page. Most office label stock follows a small set of standard grids, but the count should always come from the sheet in front of you, not from memory.
Match Margins and Gaps to Your Sticker Stock
The margin is the empty band between the edge of the paper and the first row or column of labels. The gaps are the empty strips between adjacent labels. Together they carve the printable area into the cells that will hold your text. If your sticker sheet has perforated edges, lightly measure from the edge of the paper to the edge of the first printable cell for the margin, and from the edge of one printed cell to the edge of its neighbour for the gap.
The Label Maker calculates the resulting label width and height from the four values you provide. If the margin and gaps would consume so much of the page that no usable space remains, or if the resulting label would be impractically small, the tool refuses the layout with a direct warning rather than allowing an apparently valid grid to overflow at print time. This guardrail means a refused value is a sign that one of the four inputs needs to change — typically the row count, the column count, or the gap — not a sign that the tool is broken.

Set Up a Sheet in Three Steps

Paste Your Labels and Read the Live Preview
Once the geometry is set, paste your list. The rule is one line, one label. A complete address goes on a single line if you want it to print as one label; a bin number, a folder title, a product code, or a person's name each occupies its own line. Empty lines are ignored, which means you can leave blank lines between groups in a long list without producing blank stickers.
As soon as you paste, the paginated preview appears. The preview uses the same page dimensions and the same geometry as the print view, so the size of each dashed cell in the editor is the size of the sticker that will print. If your list is longer than the configured grid, the tool automatically begins a new sheet once the first is full, and continues paginating until every non-empty line has a cell. Two limits are worth keeping in mind. The label is centered and wraps inside its cell, which works well for ordinary text but is not designed for complex multi-line address formatting, logos, QR artwork, or barcodes. Run a Plain-Paper Test Before the Real Sheet
Sticker paper is expensive, and once a label is misprinted it cannot usually be reprinted, so a plain-paper test is the cheapest insurance. Open the browser print preview from the tool and check three things before pressing print. First, confirm the paper size in the print dialog matches the tray — US Letter if you set US Letter in the tool, A4 if you set A4. Second, set scaling to actual size or 100 percent wherever the dialog exposes it; otherwise the driver may shrink or enlarge the grid and your carefully measured margins will silently shift. Third, disable browser headers and footers if the dialog offers that toggle, so URLs, page numbers, or titles do not appear in the printed border.
Print the test on plain paper, then hold that sheet up behind one sheet of your blank sticker stock against a window or lamp. The text from the test should fall inside each sticker outline on the stock behind it. If it sits too high or too low, adjust the outer margin vertically; if it sits too far left or right, adjust the outer margin horizontally; if it is centred but drifts between columns, the horizontal gap is off, and the same logic applies vertically to the vertical gap. Keep both the test sheet and the original list until the real run is finished.

Fix Misalignment Without Wasting Stickers
Misalignment on the first real print is normal, and almost always traces back to one of five causes. The paper size in the print dialog does not match the paper size in the tool. Scaling is set to fit, shrink, or a percentage other than 100. The outer margin in the tool does not match the actual margin printed on the stock. The horizontal or vertical gap is slightly off, especially for grids with many rows or columns where a fraction of a millimeter compounds. The browser added headers, footers, or page numbers inside the printable area.
Adjust one variable at a time and reprint on plain paper until the alignment is correct.
